xpander.ai is an open-source, multi-framework platform for building and managing AI Agents. Our platform handles the full software development lifecycle for enterprise teams that are building AI Agents, including agent state and memory, tool calling, visual workbench, agent to agent handoffs, MCP, agent triggering, and much more.

The Role

As a Business Operations Manager, you’ll be the operational backbone of a fast-moving startup – anticipating needs, smoothing workflows, and freeing product and revenue teams to focus on what they do best. You’ll oversee key cross-functional projects end-to-end, continuously refine processes and systems (like our CRM and reporting tools), and coordinate with stakeholders – from Marketing and R&D to Finance and Legal – to keep everyone aligned and on schedule. By managing vendors, budgets, and recruiting efforts, and by providing strategic support to executives (from board-deck prep to event planning), you’ll ensure that day-to-day operations run without a hitch and that our growth never skips a beat.

Responsibilities

  • End-to-End Project Management: Plan, coordinate & monitor project stages (schedules, budgets, resources, risks, scope); For example: SOC 2 readiness on time and within scope.
  • Process & Workflow Optimization: Analyze existing processes (marketing campaigns, sales motions, revenue ops, hiring, employee on/offboarding) and design/document improvements for efficiency.
  • CRM Administration & Reporting: Maintain HubSpot CRM hygiene; build dashboards, triggers and automated alerts; generate weekly/monthly/quarterly executive reports.
  • Cross-Functional Collaboration: Serve as liaison between Marketing, Sales Ops, R&D and Product: lead syncs, resolve issues, align on objectives and deliverables.
  • Vendor & Contract Management: Source, negotiate and manage vendors (e.g., Drata for compliance, event vendors, website developers); coordinate contracts with Legal.
  • Sales & Marketing Operations: Oversee SalesOps tooling (HubSpot flows, RB2B, Swan), website content/UX updates, print & swag fulfillment, and social-media design and coordination.
  • Finance & Compliance Coordination: Partner with Finance and Legal on budgets, forecasting, expense tracking, and SOC 2/compliance workflows.
  • Talent Acquisition & Hiring: Define job requirements, draft and post job ads, coordinate candidate pipelines, schedule and conduct interviews, and manage offer processes.
  • Presentation & Event Support: Develop slide deck skeletons for board meetings and executive reviews; collect inputs and coordinate updates from stakeholders; support planning and execution of company events.
  • Office & Administrative Management: Manage expenses, vendor relationships, office logistics, and CEO/CPO assistance (calendar, meeting follow-ups, ad hoc support).

Required Qualifications & Skills

  • Experience or a degree in business management.
  • 3+ years in operations, program management, or revenue operations within a tech or AI startup environment.
  • Eagerness to take on a multifaceted role with potential for growth.
  • Fluent in English, both written and spoken.
  • Analytical mindset with a track record of using data to drive decisions and improve processes.
  • Proactive problem-solver comfortable in a fast-paced, ambiguous environment.

Nice to have

  • Strong project management skills; proficient with Notion
  • Proficiency in CRM administration (e.g., Salesforce, HubSpot), Notion and and reporting tools (Google Sheets).
